Typically, conferences are held by the decision-makers and associates or partners who are directly or indirectly involved in influencing policies, initiatives, or decisions decided upon through discussion, negotiation, and consensus amongst the attending group of delegates. The group may consist of corporate delegates, teams, or sporting or other organisations – in each case, a gathering with a common purpose, interest, or goal in mind.


Host, Delegates, and Venue Selection

On one hand, the success of a conference depends on the content of the agenda, participation and commitment of delegates, avoidance of time-wasting and unnecessary delays, adherence to the allocation of time as per the agenda, and ensuring that the most appropriate people are in the audience. Most importantly, the organiser or host must select a conference venue that complies with exacting conference and hospitality standards.


The Conference Venue

The conference venue also has a host of responsibilities, especially if it wishes to develop and firmly establish a reputation for the quality of its conference facilities and services, plus the success of its guests’ conferences, since these factors are intrinsically entwined.

Ideally, the conference host and person responsible for arranging it should have very little or nothing to do with the conference details on the day. The actual coordination, hands-on services, and their timely execution are the venue personnel’s responsibilities. Thus, everyone attending the event is free to concentrate on the conference, relaxed, focused, and confident that tasks will be performed in a timely, professional, and seamless manner, in keeping with the agenda and brief.

Duration and Packages

  • Half-day conference (four hours maximum) without lunch
  • Half-day (four hours maximum) with lunch
  • Full-day conference (08:00 until 17:00) with lunch


Our standard package is based on a full-day conference, so please exclude extraneous items for half-day conferences. The packages include:

  • Fresh hot and cold beverages, fruit platters, and pastries on arrival
  • Tea/coffee and snacks during morning and afternoon breaks
  • Lunch
  • Flipchart/markers
  • Notepads/pens
  • White screen or 75” HD 4K display (depends on venue)
  • Data projector (also venue dependent)
